Overview
The Account Specialist is responsible for contingent worker onboarding and compliance, data integrity, and resolution of worker inquiries. This role serves as a dedicated representative for contingent workers, a subject matter expert in onboarding compliance, and a key partner to Account Managers. They are responsive to client requests delivered through Account Managers, and continually keep Account Managers apprised of contingent worker status. The Account Specialist supports client and worker success through urgency and attention to detail in meeting critical deadlines and ensuring compliance.


Responsibilities

  • Initiate contingent worker onboarding within two business hours of client requisition submission
  • Welcome onboarding contingent workers to EWM through personal phone call and email outreach
  • Administer contingent worker onboarding, ensuring completeness and compliance with EWM and approved client requirements
  • Administer pre-employment background and drug screening in accordance with approved client requirements
  • Administer completion of form I-9 in accordance with USCIS regulations
  • Provide proactive, continuous contingent worker onboarding status information to Account Managers and clients
  • Act as a primary point of contact for assigned contingent workers and associated client hiring managers
  • Provide contingent workers and associated client hiring managers with access and instruction to time entry and approval system
  • Complete assignment data entry for new and ongoing contingent worker assignments in all required systems in support of accurate payroll and invoice processing
  • Audit and correct new and ongoing assignment data in support of accurate payroll and invoice processing
  • Respond to contingent worker and hiring manager inquiries as appropriate
  • Escalate sensitive matters to Account Managers as appropriate
  • Maintain awareness of commonly-requested assignment and employment information, including EWM onboarding processes, EWM payroll and timekeeping processes, EWM safety incident processes, health benefits eligibility requirements, and I-9 requirements
  • Maintain fluency of EWM and vendor systems utilized in contingent worker onboarding, pre-employment screening, timekeeping, and ongoing assignment data maintenance
Knowledge, Skills, and Attributes
  • Minimum of 2 years of experience in HR, payroll, or similar
  • Knowledgeable in areas of compliance with task- driven mentality
  • Values adherence to EWM process and standardization
  • Exceptional attention to detail and accuracy with maximum 2% error ratio
  • Sense of urgency with high-level responsiveness and commitment to rigid timelines
  • Intermediate MS Excel and Adobe Acrobat (PDF) fluency
Work Environment and Physical Demands
  • Professional office environment
  • This role routinely uses standard office equipment including, but not limited to, computers, phones, photocopiers, filing cabinets and fax machines.
  • While performing the duties of this job, the employee is regularly required to engage in professional and interpersonal written and verbal communications with a wide variety of individuals including, employees, customers, vendors, managers and others.
  • In accordance with the requirements of a typical office work environment, the employee will be required to attend meetings in person and/or by phone/video conferencing, use keyboards, keypads, dial pads etc., Some overhead reaching, bending and twisting, as per usual office environment and functions.
  • This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
Travel
  • Travel is not expected for this position.
Qualifications
  • BA/BS degree from an accredited university
  • Minimum of 2 years of experience in HR, payroll, or similar
  • Knowledgeable on a variety of state-specific employment laws
  • Previous experience as a mentor or team lead
