Administrative & Legal Coordinator
Location: San Diego (Hybrid)
Compensation: The salary range for this position is expected to be between $25.00 - $30.00 per hour, depending on geographic location, experience, internal equity and other qualifications of the successful candidate.
Status: Part-time / Non-Exempt (20-25 hours per week) | 6-month contract (with potential for conversion)
Position Summary: Support the Company’s Legal Department as it relates to responding to subpoenas and document production; and drafting and modifying templated contractual terms and conditions. Additionally, support all Corporate Services departments with daily tasks including but not limited sorting and distributing mail, scanning documents for the different departments, unemployment claims, verification of employments, payroll adjustment forms, reporting, garnishments, benefit audits, and internal and external client and employee inquiries.
Responsibilities & Expectations:
- Provide assistance with drafting and modifying templated legal contractual terms and conditions
- Provide litigation support to the Legal Department, including reviewing and responding to subpoenas and document requests for personnel and/or employee records; gathering data from internal systems and stakeholders and preparing, redacting, and organizing records for production.
- Drafting templated litigation hold notices
- Organize and maintain Excel spreadsheets with employee data when needed for class or collective actions.
- Responsible for supporting Corporate Services Departments primarily Paybill, Accounting and Legal
- Assist with mail duties for the suite
- Review, respond, and process all W2 and W2C requests
- Research returned checks
- Respond to and manage all Verifications of Employment
- Respond to and manage all Unemployment Claims
- Processing all garnishments and being the point of contact for garnishment questions
- Assist in pulling all the proper payroll records for litigation request
- Field calls from the payroll hotline
- Light auditing with use of Excel and GoogleSheets
- Uploading of Temp Payroll New Hire reporting to EDD
- Certified Payroll data entry
- Benefits medical support orders
Work Environment and Physical Demands
- Professional office environment.
- This role routinely uses standard office equipment including, but not limited to, computers, phones, photocopiers, filing cabinets and fax machines.
- While performing the duties of this job, the employee is regularly required to engage in professional and interpersonal written and verbal communications with a wide variety of individuals including, employees, customers, vendors, managers and others.
- In accordance with the requirements of a typical office work environment, the employee will be required to attend meetings in person and/or by phone/video conferencing, use keyboards, keypads, dial pads etc., Some overhead reaching, bending and twisting, as per usual office environment and functions.
- This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
- 2+ years’ of experience in legal administrative-based role
- Strong Problem-Solving Skills and using sound discretion on when to escalate
- Adaptability: Comfort working in a fast-paced, rapidly growing environment; flexible in response to changing employee needs; maintain professionalism and composure
- Organizational Skills: Extremely organized; ability to prioritize tasks
- Computer Skills: Proficiency with Microsoft Office & Google Suite
- Experience with Excel
- Comfortable with maintaining operating procedures and running routine reports
- Able to maintain and protect private and/or confidential information
- Great at multitasking while prioritizing shifting deadlines
- Works well in a team environment
- Detail-oriented with a focus on customer service
- There is no travel anticipated for this role
